Position Overview

CMC is seeking a highly organized, service-oriented Adult Programs Coordinator to provide administrative, communications, website, data, scholarship, event, and onsite program support for CMC's adult education and volunteer-led programs. This newly created role supports AIARE and Avalanche Education, Technical Climbing School, Wilderness First Aid and Wilderness Medicine, volunteer leaders, volunteer school instructors, scholarships, Routes & Places data, SharePoint organization, and Adult Programs events.

The Adult Programs Coordinator serves as a primary support contact for volunteer leaders and volunteer school instructors, helping ensure programs are well organized, timely, welcoming, and supported by clear processes and accurate documentation. The position is designed to meet current administrative needs while also strengthening future systems, workflows, and role continuity for the Adult Programs department.

Key Competencies

Program Administration & Volunteer-Led Program Support

  • Provide administrative support for volunteer-led adult programs, including AIARE and Avalanche Education, Technical Climbing School, Wilderness First Aid, and related adult education offerings.
  • Assist with course setup, scheduling support, roster tracking, participant communications, instructor communications, materials coordination, course closeout, and post-program documentation.
  • Support the Program Director and volunteer school leaders with day-to-day administrative needs, recurring deadlines, program records, and follow-through on action items.
  • Maintain organized files, tracking tools, checklists, templates, and program documentation that support continuity across the Adult Programs department.

Volunteer Leader & Instructor Support

  • Respond to volunteer questions regarding website use, course administration, procedures, forms, training resources, and program logistics.
  • Provide proactive support through planning, process development, volunteer training materials, reminders, and improved administrative workflows.
  • Provide reactive customer service support by troubleshooting issues, routing questions, documenting needs, and helping volunteers navigate systems and processes.

Website Administration, Data Management & Customer Service

  • Administer website updates and customer service needs related to adult programs, volunteer-led courses, events, and program information.
  • Maintain accurate program, course, event, registration, and volunteer-facing information in CMC systems and online tools.
  • Support data management for the Routes & Places trip database, including maintenance, updates, quality control, and coordination with appropriate staff and volunteer users.
  • Identify recurring customer service issues and recommend improvements to reduce confusion, improve volunteer experience, and strengthen program administration.

Scholarship Administration & Tracking

  • Provide administrative and tracking support for adult program scholarships and financial assistance processes.
  • Track scholarship applications, approvals, discount codes or award documentation, reimbursement information, communications, and reporting needs.
  • Maintain organized scholarship files and support timely communication with applicants, volunteer leaders, staff reviewers, and finance contacts as needed.
  • Help identify process improvements that make scholarship administration clearer, more consistent, and easier to maintain over time.

SharePoint, Communications & Department Administration

  • Serve as a SharePoint and communications administrator for the Adult Programs department.
  • Maintain department folders, shared files, process documents, templates, contact lists, event files, course files, and internal resources.
  • Support department communications including volunteer updates, program announcements, reminders, meeting materials, event communications, and internal coordination.
  • Assist with organizing recurring department meetings, agendas, notes, action items, and follow-up documentation.

Event Support

  • Provide event support for Adult Programs department activities, including signature events, volunteer gatherings, onsite socials, volunteer recognition events, and program-related convenings.
  • Assist with event logistics such as registrations, communications, supply lists, setup, teardown, volunteer assignments, signage, rosters, and post-event wrap-up.
  • Coordinate onsite support needs for the Technical Climbing School, including gear room organization, volunteer rental program support, and event preparation.
  • Support onsite social and volunteer recognition events that strengthen adult program community and volunteer engagement.

Process Development & Documentation

  • Identify, recommend, and support process improvements that help Adult Programs operate more consistently and efficiently.
  • Document workflows, recurring procedures, timelines, checklists, FAQs, and role-specific guidance for volunteer and staff users.
  • Help build systems that support current needs while setting up the Adult Programs Coordinator role for long-term success and scalability.
  • Partner with the Program Director to prioritize process documentation projects and maintain clear, accessible resources for future staff and volunteers.

Required Competencies

  • Two or more years of relevant experience in administrative support, program coordination, nonprofit operations, customer service, volunteer support, outdoor education, recreation, or a related field.
  • Strong organization, attention to detail, follow-through, and ability to manage multiple recurring deadlines and administrative priorities.
  • Excellent customer service skills and ability to communicate professionally with volunteers, members, instructors, staff, and external partners.
  • Comfort supporting volunteer-led programs and providing both proactive planning support and responsive troubleshooting.
  • Proficiency with Microsoft Office 365, including Outlook, Word, Excel, Teams, and SharePoint.
  • Ability to learn and maintain website, CRM, registration, event, data management, and online course systems.
  • Ability to create and maintain clear process documentation, checklists, templates, and shared resources.
  • Ability to work occasional evenings and weekends for programs, events, and volunteer support.
  • Ability to lift and carry up to 45 pounds and assist with event setup, teardown, gear room support, and program materials.
  • Successful completion of a criminal background check.

Preferred Competencies

  • Experience supporting outdoor education, adult learning, climbing, mountaineering, avalanche education, wilderness medicine, volunteer-led recreation, or member-based nonprofit programs.
  • Experience with website content administration, SharePoint information management, Salesforce or CRM systems, event registration platforms, or online learning tools.
  • Experience maintaining databases, shared records, forms, applications, scholarship tracking systems, or process documentation libraries.
  • Familiarity with CMC programs, trip leader systems, Technical Climbing School, Routes & Places, scholarship programs, or adult education offerings.
  • Wilderness First Aid, Wilderness First Responder, Leave No Trace, AIARE, AMGA, or comparable outdoor education certification.
  • Basic communications, newsletter, or event promotion experience.
  • Spanish language skills or experience supporting multilingual and multicultural outdoor communities.

Work Environment & Physical Requirements

  • Work is performed through a mix of office-based, hybrid, event, classroom, gear room, and occasional outdoor program-support settings.
  • Regular onsite presence at CMC in Golden, Colorado is required to support the Technical Climbing School, gear room, volunteer rental program, onsite events, and department operations.
  • Some work may occur during evenings or weekends based on program, volunteer, and event schedules.
  • The role requires frequent computer work, communication with volunteers and members, file organization, and occasional movement of gear, event supplies, and program materials.
